Schedule rehearsals, reach sopranos, altos, tenors and basses separately, plan concerts and tours — and let everyone know in time when Thursday's rehearsal moves to the church hall.
In short
Klubraum is a group app from Germany that choirs, community bands, orchestras and other music ensembles use to run rehearsals, concerts and everything in between. Every rehearsal and performance is an event with RSVPs. Voice parts and sections — soprano, alto, tenor and bass, or woodwinds, brass and percussion — each get their own Area with their own chat and events. Concert trips get a participant limit with an automatic waiting list, and members offer carpools to performances right on the event. A timeline for announcements, surveys, a member directory and a calendar subscription for Google, Outlook and Apple Calendar complete the picture, on iOS, Android, macOS and the web. Member data is hosted on servers in Frankfurt, Germany, the app is ad-free, and the free plan includes every core feature for unlimited members. More than 10,000 clubs, groups and organizations with over 300,000 members use Klubraum.
Choirs and bands run on their own rhythm: the weekly rehearsal, sectionals, concert cycles, gigs and tours. Ten moments from a typical season — and how they look in Klubraum.
Soprano, alto, tenor and bass — or woodwinds, brass and percussion in a concert band — each get their own Area in Klubraum, with their own conversation and their own events. Sectional chatter stays in the section, and announcements for everyone go to the whole ensemble. Make each section leader an Area admin so they can manage their section's events and members themselves. Areas and members are unlimited, on the free plan too.
Set up Thursday's rehearsal once as a recurring event, with time, place and a description. Every member answers Yes, No or Maybe, so before rehearsal your director sees who's coming and who still needs to reply. If one rehearsal is called off, cancel just that date: everyone attending gets a push notification, and the series carries on as usual.
Publish a sectional only in that voice part's Area, and its RSVP list shows exactly the singers in that section: who's in, who's out and who still needs to answer. Full rehearsals go out to every section's Area at once — one event, one RSVP list for the whole choir.
On the concert event, the call time for warm-up, the dress code and the run of show sit right in the description, where everyone can find them. A minimum participant count records how many singers or players the performance needs. With Plus you can also set an RSVP deadline ("reply by Sunday") so your lineup is settled in time.
The bus seats fifty, the hotel holds thirty rooms. Set a participant limit on the trip event: anyone who signs up later goes on the waiting list automatically and moves up as soon as someone drops out. Multi-day events cover the whole tour weekend. All of this is on the free plan.
Driving to the festival or the holiday concert two towns over is easier together, and a tuba and timpani fit in very few compact cars. On the event, a member offers a carpool with date, time, starting point, a note and the number of free seats. Anyone who wants a ride taps "Ride along", and the driver is notified every time someone joins or leaves.
Which Saturday works for the retreat? Which piece should go on the spring program? Post a survey in the conversation of the whole ensemble or of a single section. Yes/no, single-choice and multiple-choice polls are on the free plan; Plus adds scheduling polls with several dates or time slots.
Extra singers join for the Messiah, and a sub covers second trumpet. Anyone playing a single date is added as a guest right on the event, so they count in the RSVP list. Singers who join for a whole concert cycle get their own project Area holding every rehearsal of that cycle.
Your children's choir, youth choir or youth band gets its own Area with its own rehearsal times. Parents sign their kids up right on the event and stay in the loop: Klubraum only needs an email address, a join link or a QR code, so private phone numbers stay private.
New rehearsal times, the spring concert program, a thank-you after the performance: announcements live in the timeline, where members who join later can still find them. Every member subscribes to their personal Klubraum calendar in Google, Outlook or Apple Calendar, and you embed your calendar on your website, where family, friends and your audience see the next concerts too.
Four steps that fit into one rehearsal evening.
In the app or in your browser, free and in a few minutes, under your choir's or band's name.
One Area per voice part or section, plus your board, music staff, youth groups or concert committee as needed.
With a join link, a QR code at your next rehearsal or by email. Then place everyone in their section.
The weekly rehearsal as a recurring event, the next concert as an event with RSVPs — and from then on, Klubraum keeps count.
Rehearsals and concerts as events with RSVPs, participant limits and automatic waiting lists, voice parts and sections as their own Areas with their own conversations, announcements in the timeline, surveys, carpools to performances, a member directory that members keep up to date themselves, and a digital membership card. All of it is on the free plan; Pro adds participation statistics and Excel exports.
Next to your sections, the board, the concert committee, the youth program and your supporters' group can each have their own Area. One app covers everything from Thursday rehearsal to the annual meeting and the summer picnic.
Dues, bookkeeping and your official membership records stay in the system you use for them today — Klubraum adds scheduling and communication on top. The member directory in Klubraum is a contact list that each member maintains for themselves.
Look for an app where every rehearsal and concert is its own event with RSVPs and every voice part has its own space. Klubraum does exactly that: the weekly rehearsal as a recurring event, soprano, alto, tenor and bass as separate Areas with their own chat, concert trips with a participant limit and waiting list, and announcements in a timeline everyone can scroll back through. The free plan is ad-free and covers unlimited members and Areas.
Right on the rehearsal event in Klubraum: it lists who said yes, no or maybe and who still needs to reply. Publish a sectional only in that voice part's Area and the list shows exactly that section. With Plus you can set RSVP deadlines and switch off "Maybe" when you need a firm count. Pro adds participation statistics across all events and Excel exports.
Give each voice part its own Area in Klubraum. Each Area holds the events, conversations and notifications for that section, so the tenors' back-and-forth reaches the tenors. Section leaders can manage their section's events and members as Area admins. Events for the whole choir go out to every section's Area at once. Areas and members are unlimited, including on the free plan.
Yes. A concert band or orchestra sets up woodwinds, brass, percussion or strings as Areas, and every rehearsal, gig and concert as an event with RSVPs. Subs and guest players are added as guests right on the event, carpools take care of getting instruments to the venue, and the youth band gets an Area of its own. Board and committees can work in the same Klubraum.
Give the choir a space of its own: in Klubraum, announcements go in the timeline, rehearsals and concerts in the calendar, and discussions in conversations by topic and by section. RSVPs are collected on the event itself, so the count is always current. Members who join later can read earlier announcements. An email address, join link or QR code is all anyone needs to sign up.
The easiest way is a join link you send by email or post in your current group chat, or a QR code you show at the next rehearsal. You can also invite members one by one by email. Then add each singer or player to their section's Area. Klubraum runs on iOS, Android, macOS and in any web browser, so members can join from whatever device they have.
Yes. Every member subscribes to their personal Klubraum calendar with an iCal link in Google Calendar, Outlook or Apple Calendar, and new or changed rehearsals show up there automatically. You can also embed your calendar on your website so family, friends and your audience see upcoming concerts. With Pro you decide whether the web calendar shows the location, description or canceled events.
Klubraum's free plan stays free: calendar and RSVPs, participant limits and waiting lists, Areas, timeline, surveys, carpools and unlimited members, with no ads. If you want more customization and control, add Plus or Pro; for nonprofits, Plus currently starts at €1.80 per user per year, billed monthly and cancelable any time.
